FUND RAISING TOURNAMENT
LETTER OF INSTRUCTION (LOI)
1. PURPOSE: To establish standards and procedure for the planning, coordination, and conduct of tournament. 2. OBJECTIVES:
a. Establish duties and responsibilities.
b. Set standard for funds and distribution.
c. Recognition and reward
3. Duties and Responsibilities
a. Tournament Chairman:
i. Overall responsibility for the planning, coordination, and conduct of tournament.
ii. Brief concept at monthly meeting a month prior to tournament.
iii. Coordinate golf Course.
iv. Publicize and distribute flyer NLT two weeks prior to tournament.
v. Manage funds collected and fund allocation/distribution for golf course, prize awards, and treasurer for BBQ, refreshment, and funds raise.
vi. Judgment/decision on appeals from director.
vii. Awards presentation.
viii. Conduct after action review (AAR).
b. Tournament Director:
i. Responsible for the management and conduct of tournament play.
ii. Coordinate with chairman for guidance and resources.
iii. Brief concept at monthly meeting a month prior to tournament.
iv. Organize staffing committee for check-in, pairing/score cards, carts, side action, KP holes, and scoring/posting.
v. Consult with chairman for appeals if necessary.
vi. Conduct tournament play briefing 30 minutes prior to tee time.
vii. Resolve appeals.
viii. Provide chairman with funds collected after check-in and names of three place winners in each flight, KP’s, and skins.
c. Tournament Committee.
i. Check-In.
ii. Pairing/score cards.
iii. Side Action.
iv. Carts.
v. KP holes with tape measure and sheet/pencil.
vi. Scoring and posting.
vii. Access to gate if Whispering Firs Golf Course is used.
viii. Perform other duties as required.
d. BBQ Committee.
i. Plan, coordinate, and conduct hamburger/hot dog BBQ.
ii. Brief concept at monthly meeting a month prior to tournament.
iii. Coordinate with chairman for approximate number of players.
iv. Secure Site at least a week in advance.
v. Coordinate with treasurer for funding.
vi. Prepare and conduct BBQ NLT an hour after tournament play.
vii. Provide chairman
e. Refreshment Committee.
i. Coordinate with chairman for approximate number of players.
ii. Brief concept at monthly meeting a month prior to tournament.
iii. Provide adequate chilled refreshments at BBQ site NLT an hour after tournament play.
f. Treasurer. Provide funding resource and accounting of funds raise.
g. Secretary. Record minutes of concept brief and AAR.
3. FORMAT-
a. Foursome, similar to TOC.
b. Full handicap applied. The Calloway handicap system would be applied to participants without established handicap.
c. Member participation is mandatory, unless the member is hospitalized, out of state due to TDY/DEPLOYMENT status, or actively conducting duties in support of tournament.
d. Flights.
(1) A flight: 0 – 10
(2) B Flight: 11 – 21
(3) C Flight: 22 - 32
4. FEES: $55.00 for each player.
5. PRIZE:
a. Prizes awarded for lowest net score for first three places in each flight.
b. Prize percentage breakdown based on total number of players competing in each flight:
i. First: 50%
ii. Second: 30%
iii. Third: 20%
7. HANDICAP: The Calloway Handicap System will be used to establish handicap for participants without handicap.
8. LOCAL RULES: A Summer/Winter rule applies based on course conditions.
9. TOURNAMENT FEES AND ACCOUNTING: Maintained by tournament chairman and brief at monthly meetings.
10. TIE-BREAKER: In the event of a tie score, matching of scorecards will be used to determine the winner. Following applies:
a. Last nine holes played (10-18), ½ of handicap is deducted.
b. If still tie, use last six holes played (13-18), 1/3 of handicap is deducted.
c. Last three holes played (16-18), 1/6 of handicap deducted.
d. 18TH Hole
Front nine holes played, ½ of handicap.
